The Enterprise Resource Planning Solution Division (ERPSD), Department of Management Strategy, Policy and Compliance (DMSPC) has informed of an upcoming Umoja black-out period which will affect all operations requiring Umoja production systems i.e., Umoja ECC, Employee Self Service, Umoja Mobile, Umoja Analytics and Umoja UNBI.

The upgrade is scheduled to start on Friday, 5 April 2024 at 5PM EST (New York time) and is anticipated to last until Wednesday, 10 April 2024 at 8PM EST (New York time). Please note that during this period, all Umoja systems will be unavailable, and no transactions can be recorded in the system.? Data feeds and interfaces from Umoja to other systems will also be unavailable during the downtime.

As such, to ensure business continuity and minimal impact on our operations, please take note of the following and take all necessary action ahead of the blackout period.

  • Payments to vendors, consultants, individual contractors, and off-cycle payments – processing of payment requests should be completed in Umoja by 1st of April 2024 to allow sufficient time for payroll to approve and cashiers to release the payments prior to the blackout.
  • Travel request and approval – Travel requests approved after 29th March 2024 will not make it on time for ticket issuance, lumpsum or advance disbursement by cashier’s office before the blackout period. All travel arrangements are to be completed by 29th of March for any travel scheduled to be undertaken in the month of April. ???
  • Health Insurance enrollments and changes –Staff should update their health insurance information in Umoja ESS by COB 4th April 2024 to ensure the update is recorded in Umoja within the enrolment period.
